What Happens If Equipment Is Damaged, Lost, or Stolen?

Hiring high-quality sound and lighting equipment ensures your wedding, corporate function, or school event runs seamlessly. However, active event environments come with real-world risks — from knocked-over speaker stands to unexpected weather changes.

Understanding how equipment protection, damage, and loss are handled ensures complete clarity before your gear leaves our doors.

1. Responsibilities During the Hire Period

From the moment audio equipment is collected from our depot or delivered to your venue, full financial and legal responsibility transfers to the hirer. This responsibility remains in place until all equipment is safely returned and checked back into inventory.

2. Damaged Equipment

If gear suffers physical or technical damage while in your care, the resolution depends on the extent of the impact:

 Repairable Damage: If a speaker driver, mixer channel, or cable is damaged but repairable, you will be billed for the full cost of professional repairs, manufacturer parts, and technical labour.

 Irreparable Damage: If equipment is severely damaged or deemed unsafe for future commercial use, it is classified as a total loss. In these cases, you will be billed for the full current replacement value of the item.

 Excessive Cleaning or Negligent Handling: Additional service fees apply if items are returned excessively dirty, covered in drink residue, packed incorrectly without protective flight cases, or wrapped with unapproved adhesive tape.

3. Lost or Stolen Equipment

Missing gear disrupts rental operations and subsequent bookings. In the event of missing or stolen equipment:

 Replacement Charges: You are responsible for replacing all missing items, including primary hardware (mixers, speakers, photo booth components) and essential accessories (cables, microphones, stands, and transit cases).

 Reporting Theft: If theft occurs at your venue, you must immediately report the incident to local police, obtain an official police report number, and notify us in writing within 24 hours.

 Ongoing Hire Charges: Standard rental rates continue to apply until formal written notification is received or replacement costs are fully settled.

4. Down-Time and Loss of Revenue

If damaged or missing gear prevents us from fulfilling scheduled commitments for subsequent customers, demurrage or down-time charges equal to the daily rental rate may be charged for the duration the equipment remains out of service.

5. Security Deposits and Payments

All repair, replacement, or cleaning costs are initially assessed during our post-hire check-in process. Necessary charges will be deducted from your pre-authorised security deposit or billed directly to the nominated credit card associated with the hire agreement.

6. Best Practices to Prevent Damage

 Keep gear sheltered: Keep all electronic consoles and powered speakers sheltered from rain and direct heat.

 Keep liquids away: Never place drinks or liquids near mixing desks, amplifiers, or power distribution boards.

 Manage cable runs: Secure all heavy cables across walkways with proper cable crossovers or heavy-duty tape.

 Pack gear immediately: Pack all items securely in their designated flight cases or padded bags immediately after your event concludes
